A booking system for
tutors and coaches.
Tutoring sits at the intersection of professional services and small business logistics. You are selling your time and expertise, often to parents who are booking on behalf of children, in sessions that might last forty-five minutes or ninety minutes depending on the subject and level. A booking system for tutors has to handle the variable session lengths, the parent-child dynamic, and the lesson packages that most tutors use to secure long-term commitments from clients.
The problems that generic tools don't solve.
Parents booking for children
The person paying and managing the schedule is usually not the person attending the lesson. The booking tool needs to keep parent and student details distinct while connecting them cleanly at the point of each lesson.
Variable session lengths
A GCSE maths session might be sixty minutes; a degree-level physics session might be ninety. A prep session before a specific exam might be one-off two-hour block. Every tutor has their own ideas about session length, and the tool has to respect that.
Lesson packages and prepayment
Most tutors secure commitment by selling lesson packages up front rather than invoicing after each session. The tool needs to handle packages, track remaining sessions, and prompt for renewal when a package is running low.
Rescheduling without friction
School schedules change, illness happens, exams come up. A tutoring relationship that makes it hard to reschedule sessions quickly ends up losing clients. The tool needs to make rescheduling easy rather than penalising it.
Features built for how you actually work.
Parent-managed bookings
Parents book lessons for their children under the parent's account, with the student's name attached to each booking. Reminder emails go to the parent. The student's name and level appear clearly on your tutoring calendar.
Flexible session lengths
You define the session lengths you offer, whether that is a single fixed length for everyone or a menu of forty-five, sixty, and ninety minute options. Parents choose at booking time and pay the corresponding price automatically.
Lesson package sales
Offer packages like ten sessions at a discount, and parents buy the whole package up front through Stripe. The system tracks remaining sessions in each package and prompts for renewal when the count gets low.
Self-service rescheduling
Parents can reschedule their own bookings within the window you allow, typically twenty-four or forty-eight hours before the session. This removes the emails and text messages that would otherwise clog your inbox with admin.
Reminder messages that actually arrive
Reminder emails go out the day before and the hour before each session. For parents who prefer text messages, SMS reminders can be added as an optional extra. Whatever channel, the reminders arrive with enough notice that they reduce missed sessions without being annoying.
Notes per student
Keep private notes on each student, including what you covered last time, what to focus on next, and any specific exam dates or learning objectives. Notes are visible only to you and make it trivial to pick up where you left off.
A typical day in your business.
It is a Sunday evening and a parent whose child you have been tutoring for maths GCSE is ready to buy another lesson package. She logs into your booking site, sees that her current pack has two sessions left, and buys a fresh ten-pack at the discounted rate. The package is paid for through Stripe and immediately available for booking sessions against.
The same parent then books four sessions over the next two weeks, choosing time slots from your availability calendar that fit around her daughter’s school schedule. You get an email summarising the bookings; the daughter’s name is attached to each one along with the 'maths GCSE' subject tag. A week later, on the morning of a session, the GP phones to say the daughter has come down with something. The parent opens the booking page on her phone, finds that evening’s session, and reschedules it to the following week with two taps. You get an email about the change, the old slot reopens for another client, and the rhythm of the week rebalances without any back-and-forth.
A 20-minute call tells us both.
We will ask about your specific operations, show you how the system would handle them, and give you an honest answer on whether we are the right fit. No slide deck, no pushy follow-up.
